POSITION:                   Part-Time Visitor Information Specialist (VIS)

SUPPORTED BY:         Vice President of Conventions Sales

 

POSITION SUMMARY: 

The Visitor Information Specialist (VIS) is responsible for assisting visitors, answering questions about the city and regional areas of interest and providing directions as needed. The goal is to enhance the visitor’s stay resulting in an exceptional experience, increasing the likelihood that they will stay longer, recommend Mobile to others and return for future visits. This position serves as direct liaison with our local hospitality community and represents the City of Mobile and State of Alabama.

 

PRINCIPAL ACCOUNTABILITIES FOR EVENTS:

  • Dress in Visit Mobile logo tops and/or wear name badges at all times as provided by Visit Mobile
  • Confirm your ability to work the scheduled events within 3 days of being contacted by the designated Visit Mobile staff member (usually the Visitor Services Manager)
  • Contact the designated Visit Mobile staff member if you are unable to work your scheduled shift in a timely manner (one week prior for non-emergency situations)
  • Arrive at the venue on time. Call the designated contact at Visit Mobile if you are going to be late
  • When working registration during conventions, report directly to the Meeting Planner
  • When working registration at the Tennis Center report directly to the VIS in charge or Tennis Center Staff
  • When working any other events report to the appropriate event leader
  • Keep the booth and/or registration table neat and attractive. Re-stock as needed
  • When working as a team, rotate breaks and lunch hours to keep the booth staffed
  • For an 8-hour day, if permitting, you are allowed two 15-minute breaks and a one-hour lunch period (check with event planner)
  • Direct any concerns to the Vice President of Conventions Sales

 

NECESSARY KNOWLEDGE, SKILLS & ABILITIES:

  • Intermediate knowledge of places of interest, activities, special events, transportation, dining and lodging in Mobile and the surrounding area
  • Basic computer skills with email and internet search skills a must
  • Ability to navigate the Visit Mobile website and to direct guests to the website as needed
  • Ability to direct guests to the Visit Mobile social media platforms as needed
  • Proactively carry out job requirements without direct supervision
  • Effective communication and customer service skills both in-person and on the telephone
  • Ability and commitment to work with a diverse group of individuals
  • Maintain a friendly demeanor, treating all visitors and staff with respect and courtesy, handling negative situations with tack and diplomacy
  • Ability to interact with people in a high energy, fast-paced, busy environment

 

PHYSICAL DEMANDS/WORK ENVIRONMENT:

This position may require the need to be exposed to moderate to high levels of noise, temperature fluctuations dependent on outdoor weather and high levels of contact with the general public. Continuously required to hear and respond to verbal cues, and to see and respond to visual cues. Each shift requires a mix of light bending, walking, standing and sitting, as well ability to lift 30 lbs.   

 

EDUCATION/EXPERIENCE:

  • College Degree preferred
  • Minimum of three years’ experience in the hospitality industry

POSITION: Sales & Services Manager
SUPPORTED BY: Vice President of Convention & Leisure Sales

EDUCATION/EXPERIENCE: College Degree preferred, however some college accepted. Hospitality experience preferred. Computer Skills including Microsoft Office Suite, Excel, and CRM applications required. Must possess excellent time management skills and the ability to create spreadsheets, reports and organize data proficiently. Experience in the ability to multitask, prioritize, follow up on assignments, and strong organizational skills are imperative.

POSITION SUMMARY: The Sales & Services Manager assists with administrative and operational efforts of the Convention and Leisure Sales Department to facilitate services provided to conventions, meetings, and groups visiting the destination. This position also performs other duties relating to event logistics, project coordination, reporting, and scheduling as needed in the sales departments. This position requires excellent written communication and verbal skills. Must be able to take direction and perform administrative efforts with minimal supervision.

DAILY ACTIVITIES

  • Follows CRM sales procedures that are in place throughout the process of booking events and meetings. 
  • Follow-up requests for brochures, collateral, and promotional materials as needed for trade shows, sales calls and any event that is needed for potential clients. 
  • Updates changes in Simpleview system for managing accounts. 
  • Manages procurement and delivery of gifts for clients. 
  • Manages post-meeting evaluation forms to clients. 
  • Manages MINT database and other resources for event history. 
  • Manages l o c a l hotel room pick-up after meetings, events, and group tour and updated data in MINT. 
  • Manages pre- and post-convention and event support for clients including but not limited to the following.
    • Schedule activity and services. Such as Trolley tours, Tour Guides, Azalea Trail Maids/ Crew Mates
    • Provide Information on Local Tours, Activities, Events, and Partners to clients.
    • Support Efforts of Attendance Builders
    • Ships Brochures, Welcome Bags, and other items as needed.
    • Coordinates Scheduling of Visitor Information Specialists for Meetings and Events 
  • Assists in planning and coordination of functions and special events such as Director of Sales meetings, FAM Tours, Site Visits, and other meetings. 
  • Coordinates with Marketing team on Sales Related Marketing activities. I.E. Social media, Newsletters, convention, and group tour marketing activities. 
  • Participates in online training as needed as well as industry educational meetings & conferences. 
  • Ability to work a flexible schedule that at times may include after-hours/weekend events. 
  • Assists with projects and overall efforts to promote Mobile. 
  • Assumes other responsibilities as requested by management.​


TRADE SHOWS & EVENTS 

  • Represents Convention Services Departments at sales meetings and site visits. 
  • Manages resources needed by sales team and management for tradeshows, sales calls, etc. 
  • Manages all necessary logistics and procedures to maintain industry memberships and registrations as well as the trade show calendar as well as managing booth & collateral logistics.

REPORTS 

  • Manages records relating to sales activities of the department including, but not limited to, leads, lost business, definite bookings, cancellations, waivers, incentives and booking acknowledgements in a in CRM system and Definite binder. 
  • Manages tentative and definite reports, production reports, simple pace, annual sales pipeline, monthly sales pace and production report per guidelines and procedures. 
  • Assumes other Visit Mobile tasks or responsibilities as directed or assigned by the Vice President of Convention and Leisure Sales or senior management.
